To rent a car for a company, you don't need a separate fleet or a staff of drivers. The process is non-cash: we sign a contract with the organisation, issue an invoice and closing documents. You will need the company details, the passport and driving licence of the employee who will drive.

What documents are needed from an organization

The list is short — a standard set for any vehicle rental agreement:

• INN and OGRN: details for the contract and payment invoice; a company card or an extract from the Unified State Register of Legal Entities is enough.
• Rental agreement: we sign with the legal entity, specifying the vehicle, term, cost, and conditions — the insurance composition, security deposit amount, and mileage limit are stated in the rental agreement.
• List of drivers: if several employees will drive, list them in the application — we check each one's licence at pickup.
• Passport and category B licence: original documents of the driver who receives the car; for Russian citizens this is sufficient.

Payment from a company is non-cash, to a bank account. We do not have a physical office: we sign the contract remotely and deliver the car to your office or to the airport.

Who can drive the car

In the contract, we indicate the primary driver — a company employee. If another person plans to drive, notify us in advance: we will add them to the contract as an additional driver. Age and driving experience affect the available car class: for business-class cars, the requirements are higher; the exact terms are in the rental contract.

How the handover works

We accept requests via MAX or by phone. We agree on the model, date, and delivery address—to the company office or to the airport: Sheremetyevo (SVO), Domodedovo (DME), Vnukovo (VKO), or Zhukovsky (ZIA). At the appointed time, we bring the car, check the driver's documents, sign the acceptance report—and the car is ready for work. The same applies to return: we pick up the car wherever is convenient for you.

Comfort and Business class sedans are the main working tool for employee trips and delegation meetings. The optimal everyday choice is a Geely Emgrand for 3 300 ₽ or a Škoda Octavia for 3 800 ₽: economical, inconspicuous, with an automatic transmission and air conditioning. For meeting partners from the airport, it makes sense to take a Toyota Camry for 6 500 ₽ or a Mercedes-Benz E-Class for 11 000 ₽ — such cars are appropriate near an office in Moscow City or on the Patriarch's Ponds.

Crossovers: for winter and trips out of town

All-wheel drive crossovers are a solution for the Moscow region in December-February and for trips along the M-11 Neva motorway to Saint Petersburg. Geely Coolray for 4 300 ₽ will handle the city, while Chery Tiggo 8 Pro Max for 5 900 ₽ with 7 seats is an option when product samples or equipment travel along with employees. A short employee trip, a week-long business trip, and a monthly project require different conditions — therefore Rent-Trip has three tariffs: daily, weekly, and monthly. The difference in price per day: the longer the term, the lower the rate.

How a week and a month are calculated

A week is six days at the tariff, a month is twenty-one days. That is, weekly rental of a Geely Emgrand at 3 300 ₽ per day will cost from 19 800 ₽, and monthly from 69 300 ₽. The same logic applies to the entire fleet: Škoda Octavia at 3 800 ₽ per day — from 22 800 ₽ for a week and from 79 800 ₽ for a month, Toyota Camry at 6 500 ₽ — from 39 000 ₽ and from 136 500 ₽ respectively.

• Daily: suitable for a one-time meeting, a trip to the airport, or a day with multiple trips around the capital.
• For a week: convenient for an employee's business trip or a series of negotiations — the rate is lower than extending a daily rate.
• For a month: Beneficial for projects with daily trips — the price per day is minimal, and the car is assigned to the company for the entire period.

In our experience, monthly rental is most often needed by construction and IT companies whose employees work at a site or at a client's for several weeks in a row. Daily orders are usually taken for meeting guests and one-time errands.

When planning, consider the vehicle class: for long-term rental, the difference between daily and monthly rates is more noticeable on expensive models. A Mercedes-Benz E-Class at 11 000 ₽ per day on a monthly rate is from 231 000 ₽, and this is still cheaper than paying for each day separately.

If the exact duration of the project is unknown, take the daily rate and extend as needed — extension terms are specified in the rental agreement. Airports

Meeting a guest or sending off an employee starts with delivering the car to the terminal. We work with all four airports of the Moscow aviation hub: Sheremetyevo (SVO) in the north (about 30 km from the MKAD ring road via the M-11 or Leningradskoye Highway), Domodedovo (DME) in the south (~45 km via Kashirskoye Highway), Vnukovo (VKO) in the southwest (~28 km), and Zhukovsky (ZIA) in the southeast (~40 km via Novoryazanskoye Highway). Delivery to the terminal is arranged upon booking: you name your flight, and we adjust the time to the arrival, accounting for delays. If the guest is late, notify us in MAX, and the car will wait.

Railway stations

We deliver a car to the capital's railway stations the same way as to airports. Leningradsky, Yaroslavsky, Kazansky, Kursky, Kievsky, Belorussky, Paveletsky — each has its own access and parking scheme, so we allocate a 15–20-minute buffer for the meeting time. Most often, this format is ordered for business guests on the Sapsan or Nevsky Express: a person gets off the train at Leningradsky railway station and immediately gets into the car. We organize the return delivery to the train the same way — the car is picked up at the terminal, and you make it to boarding without a taxi and searching for parking.

The condition of the car and the terms of transfer are specified in the rental contract. For regular trips, it is more convenient to fix one model and delivery to the same place — this simplifies trip planning. The terms of delivery to the region and to terminals are specified in the contract — check them when booking via MAX or by phone.

Car rental for employees — roads, fines, winter

When the car leaves with an employee at the wheel, the company incurs three expense items worth knowing in advance: toll sections, camera fines, and seasonal tires. All are regulated by law and the rental agreement, so let's review them in order.

Who pays for toll roads

• MSD and TsKAD ring: Passage over nine sections — 19 ₽ each at peak hours (weekdays 7:00–11:00 and 16:00–20:00), free off-peak and on weekends; transit without exiting — 950 ₽.
• M-11 Neva and M-12 Vostok motorways: toll throughout; car for the Moscow — Kazan route via M-12 — 5 909 ₽.
• Payment: By transponder or by license plate within the road operator's deadline; a transponder gives a discount of up to 25%.
• Re-invoicing: if an employee travels on a toll road, the renter compensates the costs — this is stated in the rental agreement.

Camera fines: how it works

Camera fines go to the vehicle owner, i.e., the rental company, and then are reissued to the renter. In the capital, cameras capture not only speeding but also driving in a dedicated lane and unpaid parking. Paid parking in the center costs 380–800 ₽ per hour from 8:00 to 21:00, at night—200 ₽; the fine for non-payment is 5 000 ₽, plus towing costs 8 500–12 450 ₽ with storage. In our contracts with legal entities, the reissuing procedure is specified in advance so that accounting does not receive unexpected bills after a month.

Winter tires and seasonal restrictions

From December to February, winter tires are mandatory by law, and the entire Rent-Trip fleet is seasonally fitted. In practice, this means a corporate client receives a car already ready for snow and ice, and car preparation conditions for the season are stated in the rental agreement. In summer, from June to August, studded tires are prohibited—we also consider this when preparing the car. For employees' winter trips to the Moscow region or the Golden Ring, it's reasonable to choose an all-wheel-drive crossover—for example, Haval Dargo or Chery Tiggo 8 Pro Max—although asphalt roads in that direction are passable even in a sedan.

Before a long trip, check the route for toll sections and include their cost in your travel expenses — on the M-12 to Kazan this is almost 6 000 ₽ one way, and the accounting department does not need a surprise at the end of the month.

Car rental for legal entities in Moscow for foreign guests

For a company guest from abroad, rental formalities differ in the set of papers, not in the procedure. Otherwise, the service for legal entities follows the same scheme: a contract with the organization, non-cash payment, and car delivery to the office or airport. The difference lies in the driver's documents, and we warn about it in advance so that meeting a partner does not stall in the parking lot.

What documents a foreigner needs

• Passport: A national passport of the guest valid for the entire rental period.
• Migration card and visa or residence permit: confirm the legality of stay in Russia; without them, we do not sign the contract.
• Driving licence: National licence of the guest's country; if the country is not a party to the Vienna Convention — only with a notarized translation or an international permit (Article 25 of Federal Law No. 196).
• Bank card of the main driver: Used for the insurance deposit, the amount of which is specified in the contract.

Licences from China and a number of other countries outside the Vienna Convention are not accepted without a translation—this is a legal requirement, not our whim. If a guest plans to drive, the translation must be arranged before the car is handed over: at Sheremetyevo or Domodedovo airport there is no time to do this. For a passenger partner without a licence, a passport and migration documents are sufficient.

How we deliver the car to foreign guests

We bring the car wherever it is convenient for the guest: to a company office in the capital, to Sheremetyevo, Domodedovo, Vnukovo, or Zhukovsky airports, to Leningradsky or Kazansky railway stations. Upon delivery, we fill out an acceptance report, record the car's condition, and explain the specifics—where toll roads are, how the transponder works, where parking in the center is paid. If the guest is in the capital for the first time, we recommend starting with a car with automatic transmission—our entire fleet is automatic, so there will be no adaptation issues.

When booking through MAX or by phone, we clarify the driver's citizenship and the list of documents they need to bring — this saves an hour at pickup. If a guest from China plans to drive, we recommend that companies send scans of the guest's licence a day before pickup — if a translation is needed, you'll have time to order it.
